BOOKING POLICY

The purpose of the venue's booking policy is to provide management with general guidelines for efficient operation of the facility. Nothing contained within those guidelines is intended to limit management's professional discretion in booking or negotiating contracts that would be in the best interest of the venue and Miami-Dade County.

HOLD PROCEDURE:

Contact the South Miami-Dade Cultural Arts Center at 786-573-5316 to speak with a representative about possible date availability.  Once venue has been contacted and the availability of date(s) has been confirmed by potential Permitee, organizations or individuals interested in executing a Rental Permit or placing a “Hold” for their event at the South Miami-Dade Cultural Arts Center must submit a completed Rental Request Form

Once the completed rental request form is received, within five (5) days you will be contacted to confirm your request followed by the issuance of a Letter of Intent (LOI).  This LOI must be signed and returned to our office within 10 business days, accompanied by a $500 non-refundable deposit.  This will provide you with an official “Hold” for a date at the Center. 

No “Holds” will be issued until a formal Letter of Intent (LOI) has been executed by the parties and the appropriate deposit(s) delivered to and accepted by the South Miami-Dade Cultural Arts Center.

 “Holds” are subject to challenges.  “Holds” must execute a Rental Permit no less than 180 days prior to your event.

 Once a Rental Request From is received, Permitee may choose to directly execute a Rental Permit.

Challenge

A person may challenge your hold. If your hold is challenged you must execute a Rental Permit with-in 72 hours (not including holidays and weekends) and provide a 50% (rental costs and estimated expenses).  non-refundable deposit.    If the challenged date is released, the challenger then wins the first hold and all terms of the booking policy continue to apply. 

Remember, your date is open to challenge until the signed Rental Permit and deposit are received by the SMDCAC.  No advertising or announcements of the event may be made, and tickets may not go on sale until the signed Rental Permit and deposit are received by our office. At times, this process must be expedited if deadlines are near.

CONTRACT PROCEDURE

As requested by Permitee but no less than 180 days prior to the scheduled event two copies of the Rental Permit and Rider to the Rental Permit will be sent to you along with a deadline for a 50% deposit (rental costs and estimated expenses).  These documents must be signed and returned to the SMDCAC office 10950 SW 211th Street, Cutler Bay, Fl no later than the date posted on your contract.
